This is the wording in our contract that you will sign at time of booking

Rental Rates:

Rates vary based on date and venue.

Booking and Payment policy:

In order to confirm your space a 10% deposit of the total rental fee is required at the time of booking. contract will be given to you with details of your event. The signed contract and 10% deposit is required to confirm booking. The 10% deposit is non-refundable. The balance of the total rental fee must be received 4 weeks prior to the event date. A security deposit may be required for social functions. Payment may be made by Visa, Master card, Cash or personal cheque.

Late Bookings:

If you book less than 4 weeks prior to your event, full payment, a signed contract and the security deposit will be required at the time of booking.

Security Deposit:

A security deposit may be required for social functions witch do not use our cater. Security deposit are required at least 4 weeks prior to your event and will be released within 3 weeks after your event providing no damages or extra clean-up services have been assessed and that all the payments have been received.

Cancellation Policy:

In the event of cancellation, a written notice of cancellation is required. Please fax cancellation notice to (905 853 3495). if a cancellation notice is not received prior to the event, the full amount of rental is due immediately.

Administration Policy:

In the event of change or cancellation an administration fee can be charged in addition to regular event fees. Please inquire with the rental office for current rates.

Venue Access:

Access to the event space is permitted only after full payment is made and a signed copy of the contract is received in the office. Access can only be promised early morning of the day of the event.

Catering:

You must use the cater that we provide but make your own arrangements with them. There are some exceptions like Kosher or other ethnic food requirements witch require special preparation where we will let an outside cater in, but you must have managements permission first.

Staffing:

Other than the Bartender(s), staffing is the responsibility of the event holder and the caterer.

Liquor Licence:

If you are serving alcohol at your event, a Special Occasion Permit is required. Madsen's does not have a permanent liquor license. please contact LCBO in Newmarket at least 30 dyes prior to your event to obtain a permit. You must display the permit at your event in order to serve alcohol. For more information, look up LCBO's web site. Madsen's will provide Smart Serve Bartender(s) these bartenders must refuse service to minors and intoxicated people. If problems arise the bartenders will inform the person in charge of the venue before taking further action.

Alcohol Policy:

Alcohol is only permitted in the banquet hall in accordance with the liquor license.This is the law, no alcohol in the parking lot or anywhere outside or in any other greenhouse area other than the Banquet hall. Serving shooters will not be permitted other than as a welcome drink. The bartender(s) will stop serving alcohol at 12.30 am

Linens and Place Settings:

Madsen's does not provide linens or place settings. These can be obtained through your caterer or decor company.

Candles and Open Flame:

Candles and open flame are only permitted by approval of management in the chapel and banquet hall while occupied.

After the service in the chapel all flames must be put out. The same goes for the banquet hall.

Decor Policy:

Decor is limited to nonpermanent adhesive or thumbtacks. Sparkles in any shape or size, confetti, seeds and rice or small beets are not permitted anywhere in or outside. Additional clean-up fees will apply if any of these product are used.

Entertainment:

Madsen's will provide the DJ for the venue. You must consult directly with the DJ regarding the type of music you like to have played at your venue.

All other entertainment other than the DJ provided by Madsen's must be approved by the Madsen's in writing or they will not be allowed to perform.

Noise policy:

Madsen's and their staff reserve the right to adjusts music or audio speakers volume .Things like garderbelt/bouquet tossing has to be done before 11pm as well as no guests allowed to use mikes after 11pm.

 

Ending of the Venue:

The DJ has strict orders to end right on time in accordance with the time sat out in the contract. He will not play one extra tune. If there is going to be a last dance, you must get that dance in while there is still time. Madsen's will start clean up right after the ending of the venue and expect the lessee and all his or her guests with all their belonging to vacate the premises within an hour of the venue ending in accordance to the time stated in the contract.

Clean Up:

Decorative material, gifts and personal items are required to be removed from the premises following the event unless prior arrangements are made. Any items left behind after an event for more than 48 hours will be disposed of.

Kitchen Facility Policy:

Use of the kitchen is restricted to warm up of items and preparation of plats only. Cooking of meals is not allowed.

Smoking Policy:

Smoking is not permitted anywhere in the building. Only outside by the front door. No room heated or otherwise are allowed by the health department,

Security:

Madsen's supplied bartender(s) and DJ are all part of Madsen's limited security.

If staff are required to control guests or manage any aspect of your private function, it can be provided at a charge too the lessee.

Madsen's shall not be responsible for any lost, stolen or damaged items, either on the premises or the parking lot.

The lessee hereby covenants to indemnity and save Madsen's harmless from any and all claims that arises from the lease whatsoever (except for those caused sole by the gross negligence of Madsen's) including but not limited to, loss, damage, illness, fire, theft, carelessness, physical injury, damage incurred by an impaired operator of a motor vehicle to him or her self or any one else, and other possible claims that may arise against Madsen's out of the lessees presence at Madsen's Greenhouses or premises. The lessee acknowledges that Madsen's has recommended that the lessee obtain special insurance coverage for themselves to insure all claims.

Acknowledgement:

Your signature on this form constitutes acknowledgment that the foregoing contract has been read, understood and that you agree to comply with said conditions.
